Effective follow-up is built on 7 touches spread across 30-60 days, in alternating channels (SMS, email, phone). Each touch brings new value - not 'when are you deciding?' but a similar case, a relevant article, or a specific question.

Why most follow-up doesn't work

Failed follow-up is built on 'when are you deciding?' These messages feel like pressure. Effective follow-up is the opposite: each touch brings new value. The lead feels you're professional, caring.

The 7-touch framework

Touch 1 (Day 1): Custom initial proposal. Channel: email or SMS.

Touch 2 (Day 3): Similar case - 'I have a client who went through something similar.' Channel: SMS.

Touch 3 (Day 7): Relevant article/video/tool. Channel: email.

Touch 4 (Day 14): Specific question - 'If you're torn between X and Y, here's the difference.' Channel: SMS.

Touch 5 (Day 21): Updated proposal. Channel: phone call.

Touch 6 (Day 35): Summary - 'If this isn't a priority now, when should we revisit?' Channel: email.

Touch 7 (Day 50): Closure - 'I'm wrapping up follow-up from my end. If you want to come back in the future - just say.' Channel: SMS.

Alternating channels

Not 7 messages in the same channel. A lead getting 7 emails feels harassed. A lead getting email, SMS, call, email - feels professionalism.

Building a simple CRM for follow-up

Pipedrive or HubSpot Free works great for small business. Each lead with their own record. Name, contact, source, inquiry date, last touch, status. Automatic reminder for next touch.

When to give up on a lead

After 7 touches across 50-60 days, if the lead doesn't respond, remove from active follow-up. But don't delete. Move to 'active archive' for revisit after 6-12 months.

Hot, warm, and cold leads

Hot lead = aggressive follow-up, close within a week. Warm lead = standard 7-touch method. Cold lead = light follow-up, once a month, only high-value content. No pressure.

Measurement

Close rate after follow-up: healthy 15-30%. Average time from lead to close: 14-30 days. Lead drop-off mid-funnel: 20-30%.
